How do I sign up for the program?

How does the DMS integration work?

When an online appointment is made, the appointment will be retrieved by the DMS. Xtime uses the existing customer record to assign the appointment or will create a new customer record if a customer isn’t found. An email notification will also be sent to your nominated service email address containing all details of the appointment.

What if I don’t have DMS integration enabled or my DMS doesn’t support the Xtime integration?

An email notification will also be sent to your nominated service email address containing all details of the appointment. The appointment taker will have to manually key the appointment into the DMS.

Can I customise the Xtime notifications being sent to my customers?

Yes, this is possible, however, please contact Xtime Support on 1800 098 463.

I am not receiving email notifications for my Online Bookings?

Confirm your contact email address for your service department with Xtime Support. Alternatively, check your spam folder or if a staff member may have “unsubscribed” to the email.

How di I enable DMS integration so all appointments go directly into my DMS?

Once you have return the Participation form, Xtime will request integration from your DMS vendor. Your DMS vendor will send you an authorisation form to be filled out and returned to them. (Auto IT and Pentana). Fill this out as soon as possible and the integration will be scheduled for activation.

Are customer details secure for DMS integrated online bookings?

Customers can search for their vehicles by mobile number registration number or appointment confirmation code if they are an existing customer of that dealer. Only vehicle model and trim information is displayed. No customer persona information is shown. This makes for a better customer appointment experience for the customer.

How can I adjust my online booking cut off times?

Web booking settings are defaulted to 3 working days for the next available booking and the last appointment time at 12:00 p.m. each day. DMS integrated dealers have live availability times based on your DMS operations requirements. If you require these adjusted, please contact Xtime Support on 1800 098 463.
